The Project Coordinator reports to the Chief Operating Officer of Vyne Legacy and is a fast-paced individual who enjoys multitasking, maximizing opportunities, and applying systems and routines to gain efficiencies and effectiveness. They support the overall growth of the organization by assisting on Executive Team projects, supporting follow-up processes, and streamlining the details to bring projects to completion. This person balances multiple projects at once and enjoys bringing clarity to processes. The Project Coordinator is responsible for managing administrative aspects for diverse organizational projects, tracking and monitoring of project progress, and keeping the project running smoothly through completion. You coordinate the schedule, budget, issues and risks of projects.

Primary Responsibilities

  • Operations
    • Support COO
    • Work with senior team to identify and define project requirements, scopes, and objectives in alignment with organization goals
    • Impressive ability to organize and prioritize projects
    • Ensure project tasks are assigned, organized, and held accountable to achieve milestones, and make sure the project management framework is well-organized and running smoothly
    • Research new opportunities for Vyne Legacy as assigned and provide reports back (competitive analysis, research new tools, best practices, etc.)
    • Provide support to clients; Customer service acumen to interpret, communicate, and help deliver client needs
    • Maintain CRM database and contact management for new relationships
  • CEO Support
    • Develop slides and follow up materials
    • Research subjects as assigned
    • Perform updates of site and email automations as needed
    • Support Executive Assistant with projects as needed
  • Events
    • Assist Events Manager with venue & guest communication
    • Assist on samples and materials orders
    • Coordinate and send follow up communications

Key Qualifications and Skills

  • Bachelor’s Degree in Business, or related field preferred
  • 2+ years of project management experience
  • Strong executor
  • Strong communicator: well spoken, write well
  • Initiative-taker, highly motivated, and goal oriented
  • Knowledge of CRMs
  • Knowledge of email campaign systems
  • Prior experience in managing multiple projects simultaneously with demonstrable success
  • Strong organizational skills and attention to detail
  • Strong interpersonal and team-member skills
  • Good listener and ability to follow instructions
  • Ability to collaborate cross-functionally with sales, product, data, and other teams
  • Elevated level of professionalism and demeanor
  • Ability to use discretion and maintain confidential information
  • Proficient in all Microsoft applications: Excel, Word, PowerPoint, Outlook, Planner etc.

Work Location: Remote

Salary Range: from $55k
