This Executive Assistant/Events Support (EA/ES) role provides general administrative support to ensure efficiency of our Relationship Manager (RM) based in our corporate office, while backing up our Events Manager on events-related activities. The EA/ES must be detail-oriented, creative, personable, articulate clearly, and possess excellent written and verbal communication skills, interpersonal skills, organizational and time management skills, computer skills, and effective customer service skills.

Primary Responsibilities

1. Act as executive assistant to the assigned RM, including but not limited to:

  • Maintain organized inboxes and calendars for the RM
  • Develop workflows and processes that suit the RM’s work style
  • Assist in the coordination of RMs social media profiles (LinkedIn, etc.) with the Marketing team
  • Meeting, travel logistics, and monthly expense coordination for all RM activity and appointments

2. Manage all the relationship and revenue related activity of the assigned RM, including but not limited to:

  • Proactive identification, prioritization, and scheduling of touchpoints with qualified candidates and networking opportunities that maximize the RM’s calendar
  • Support the preparation and collation of donor/advisor/ministry materials, including, but not limited, to proposals, contracts, opportunity due diligence, and proof of performance recaps
  • Respond to inquiries via phone, email, and in writing as directed by the assigned RM
  • Carry out administrative tasks such as scheduling, data input, processing information, completing paperwork and filing documents, utilizing The Signatry’s technology platforms (Virtuous [CRM], Give Interactive, etc.)
  • Ensure timely post-meeting/engagement follow-up by RM with candidate to move relationships forward

3. Support the Events Manager with assignments including, but not limited to:

  • Maintain event attendee information across appropriate technology platforms (events management system, CRM, etc.)
  • Assist with event documentation collection and creation
  • Coordinate with event details with Signatry attendees and support staff
  • Submission of event-related receipts and invoices to Finance in a timely manner
  • Event material preparation and delivery, along with logistics coordination for off-site and virtual events activity
  • Limited travel to back up Events Manager during off-site events

It is anticipated that this role will be split approximately 75%-25% between the RM and Events support, with fluctuations at times based on seasonal activities.

Key Qualifications and Skills

  • Prior administrative assistant experience, with previous events experience preferred
  • High level of professional appearance, demeanor, and language
  • Self-motivated, with strong organizational skills, time management, and attention to detail
  • Friendly and professional communicator, with strong verbal and written skills
  • Collaborative mindset with a team-first approach
  • Good listener and ability to follow instructions
  • Ability to use discretion and keep confidential information
  • Solid knowledge of MS Office (Outlook, Word, PowerPoint and Excel) and other sales technology platforms, along with experience working in an Apple products environment

Work Location: This position is located at our corporate office in Overland Park, KS. Our organization works on a hybrid model of in-office and remote work, based on the needs of the functional leaders.
