Job Description

The Phone Coordinator provides the initial relational experience that welcomes and serves clients and potential clients when they call or visit The Signatry. This role requires someone who relishes the idea of greeting callers, determining who can best serve them and connecting the call with the that team member as efficiently as possible.

This position is ideal for a person who gravitates towards and appreciates the critical importance of telephone communications in meeting the needs of the organization.

Primary Responsibilities

  1. Provide Tier 1 (first ring) phone service on The Signatry’s phone platform, distributing calls to appropriate resources throughout the organization.
  2. Maintain awareness of organizational changes as it relates to effectively directing inquiries to the correct resource.
  3. Put forth a positive, cheerful personality, making a good first impression on behalf of The Signatry and providing a customer-focused experience.
  4. Screen callers for executives at The Signatry.
  5. Monitor voicemails and forward to the appropriate party.
  6. Monitor the general email inbox and respond back or forward to the appropriate party.
  7. Follow up on messages or inquiries from key clients or relationships of The Signatry to ensure communication was received.
  8. Manage phone voicemail messaging for holidays.
  9. Monitor and report phone platform outages.
  10. Collaborate with Donor Care Communications Coordinator for troubleshooting phone system issues.
  11. Collaborate on an as-needed basis with colleagues in various departments in the KC office for onsite assistance with occasional projects.
  12. Other duties as assigned by supervisor that are commensurate with the role.

Key Qualifications and Skills

  • Minimum 2 years of experience in a customer-facing role with experience and/or a strong desire to contribute to the success of charitable, faith-based missions and the donors that support them, experience in a corporate setting preferred.
  • A bachelor’s degree is preferred
  • Excellent interpersonal, verbal, and written communication skills, including the ability to correspond professionally and be approachable – strong relational IQ
  • Proficiency in working with the Microsoft Office 365 suite and other cloud-based software solutions in an Apple computer ecosystem.
  • Demonstrated successful experience working in a high-transaction setting managing multiple activities and competing demands while maintaining control and a professional demeanor.
  • Desire to perform repetitive tasks in a positive working fashion with efficiency.
  • Ability to learn new technology platforms as necessary to execute this role.
  • Proactivity, adaptability, grace under pressure, a posture of continuous learning, and a solutions-focused approach to problem solving are essential standards of this position.
  • This role requires high ethical standards and a proven ability to maintain confidentiality of sensitive information.

Work Location: This position is located in our Kansas City office.

Salary Range: from $40k
